Customer Service Representative

Description:

Through growth and dynamic change, Woodard Cleaning & Restoration is now seeking applicants for the position of Customer Service Representative. The choosen applicant will join an outstanding division of customer service professionals and will dedicate the majority of their time to supporting the reconstruction division. Prior experience in providing administrative support to construction operations is required.

This is a fast-paced role with as many as 20-50 concurrent restoration jobs in addition to regularly scheduled carpet & furniture cleaning jobs. This position requires construction industry knowledge and the ability to manage multiple projects and requests.


Duties:

ESSENTIAL FUNCTIONS
o Take incoming phone calls and/or direct them to the appropriate parties
o Address any customer (commercial and residential) questions or concerns regarding Woodard's services
o Keep records of customer interactions, transactions, recording details of inquiries and moments as well as actions taken
o Schedule appointments for estimates and Woodard's services
o Update and filing required paperwork
o Enter data into computer system utilizing an order entry software
o Prepare correspondence as necessary
o Contact customers in order to respond to inquiries or follow-up after work is performed
o Resolve customer complaints by performing activities such as scheduling services, billing adjustments or refunding money
o Function as an administrative support expert to the reconstruction service line
o Understanding of job costing and ability to maintain on-going project cost information
o Preparation of construction project specifications
o Utilize Xactimate software program (training provided)
o Monitor and track department/job performance metrics
o Communication with subcontractors, suppliers, and insurance professionals
o Recommend improvements in procedures and services in order to prevent future problems.


OTHER FUNCTIONS:
o Function as a back-up construction job estimator as needed
o Providing administrative support on location of large restoration jobs
o Assist other departments as necessary
o Other customer service duties as assigned
o Posting production hours, and updating paid invoices
o Potential back-up to project managers by performing duties needed to determine the scope, pricing, and work processes necessary to complete the job

Qualifications:

EDUCATION /EXPERIENCE:
o High School Diploma or equivalent required
o Some secondary education coursework with an emphasis on general accounting, project management, construction industry preferred
o 6 month + experience interacting with customers required
o 1 year + experience in the construction and/or remodeling industry required
o Prior experience with insurance programs and/or insurance professionals desired
o Familiarity with scoping, estimating and Xactimate software is desired
o Considerable expertise using Microsoft Office applications
